SUNLINE Training | June 28 - AAL User Meeting | Other Status Reports

Status Report for June 2000

June 28 - AAL User Meeting
Notes From this users meeting.

June 20 - SUNLINE-AAL Meeting
Notes from training session held for SUNLINE libraries

May 30-present - Trial run:
The trial run has been successful with a few minor issues.  We have identified the following issues:

1.  Can not receive items
Patron e-mail notification on a "shared" catalog cause problems for borrowing library in receiving the item. (patch fixed June 14, 2000)

2. Book Band Issue
Lending library not using band or using band incorrectly.  Main problem is that they are:

Entering a due date - due date field on band is for patron's due date
Entering their library's name in Return to field of band.

3.  Work flow issues
Work flow issues at some libraries need fine tuning. Need to be sure that they go to AALECAT and update that system when filling holds. Seems to be confusion over how to handle unmediated requests.

4. Finding requests using Request Inquiry
When a request comes out the automation systems holds list, ILL staff are trying to see information about the item through "Request Inquiry" before setting it to "Ship" or "Not Available".  They are finding it very hard to find the item because of the searching capability of "Request Inquiry".

5. Shipping Loans for Unmediated Libraries - Reminder

Lending libraries - when shipping loans:
(This depends on how the incoming request was handled)

If the request for the item was placed using a hold on the local circulation system then:

Enter the permanent barcode for the item in the field Item Barcode. (Do not enter the request number).

If the lending library worked from a pick lists to pull requested items then:

Enter the permanent barcode for the item in the field "Item Barcode"

Enter the request number for the item in the field "Request Number"

Mediated Libraries - when shipping loans: (Pinellas Park and Palm Harbor are the only "unmediated" libraries)

Lending libraries will use the request number only.

When the borrowing library (mediated or unmediated) receives the item enter the request number in the permanent barcode field and the permanent barcode (if your system will accept it otherwise use an unused barcode for your system) in the temporary barcode field.

6. Tampa Issues
Tampa has problems with URSA patrons not being available for holds.  Requested that they add additional patrons.  Ken has also revised the map.

7. Sarasota Issues
Sarasota had a number of issues.  Most were because of the lacking of testing prior to the trial run.  Sunline and Tampa were used for training so the bugs were found and fixed before going live.  Recommend that the libraries supply project coordinator (Lauren Stokes) with six books with barcodes and one patron for training and testing purposes. Done at profile time.  When library is mapped and ready for testing, use books and patron to request, ship, receive and return items.
