SUNLINE - AAL NOTES Presentation

A SUNLINE NOTE: Many titles in SUNLINE may have more than one BIB. We are working hard to combine these BIBs so that AALECAT will be returning better results in the future, but it will take sometime.

AALECAT does not supply a request number when a SUNLINE library ships an item. (Update: epixtech is working on a solution to this problem).

Procedure for dealing with fax requests that come into the SUNLINE KEY "Incoming Request" folder:

Cynthia will be checking this folder daily (Monday-Friday). Any items that may be filled will be forwarded to the library.

If you are the only library listed on the fax and you are not filling the request, then set the item to "Not Available" in AALECAT.

If you cannot supply and there are other SUNLINE libraries listed on the fax request, then fax the request on to the next library that the fax request shows as owning the item and it is "checked in".

If the status on the fax for the other libraries is one of not available then check SUNLINE to confirm the status or to see if there is another BIB for that item. If there is, then fax the request to that SUNLINE Library.

When you fill any of these fax requests be sure and go to AALECAT and enter the Permanent barcode and the request number in the ship screen. (See page 6 of the meeting handout for detailed instructions)

Unmediated Requests and "Passing" in Dynix

If you receive a hold on your RHA and you cannot supply the requested item then you need to do the following:

Determine who requested the item.

If it was an URSA patron and your library is FSC then "Pass" in Dynix and then go to AALECAT and set the request to "Not Available".

If it is an URSA patron and your library is not FSC, and not the last library in the hold matrix that owns the item, then you can "pass" it in Dynix. (Do nothing in AALECAT)

If it is an URSA patron, you are the last library in the hold matrix that has the item, and you cannot supply, then go to AALECAT and set the request to "Not Available" and cancel the hold in Dynix. If there is another BIB at another SUNLINE library that might fill this request, still set the request to "Not Available" but note in the reason field that a different ISBN is available at XXX library. The borrowing library will then need to request that BIB if this request fails to be filled by another non-SUNLINE library.

If it is NOT an URSA patron and you are not supplying the item then either "pass" in Dynix or do what you have been doing for Dynix holds.

The following is the "Hold Matrix" that we are referring to above. It may NOT be the same as your library's hold matrix.

Over due notices:

TBLC will be running the over dues for the "URSA patrons". Cynthia will run them and research the title(s) to determine which AALECAT library gets the notice. She will re-address the notice and mail to the borrowing library.

Topics that need to be covered at June 28 AALE-CAT Users meeting:

Print "Ship to" screen and include in the book

Do not cover the permanent barcode with the band - if the permanent barcode is on the front of the book place the blue AALE-CAT band on the back cover.

Include the wording "NO RENEWALS" on the band

Develop policies for lost items - Who pays for the item when it is lost? - How long does a library wait to recover it's items?

How long do we keep requests that are completed, un-filled or have expired on gator?
